SUMMARY

Laboratory Manager shall assist Branch Manager in the responsibility duties of the location.

DUTIES & RESPONSIBILITIES

Assuring that the Laboratory Department is providing a fast, efficient and accurate service to clients. Clients are to be kept satisfied with our service in order to ensure repeat business. Furthermore the laboratory manager is to ensure that the department is being run in a financially viable and controlled manner as required by the company.

Is responsible for and takes care of running the operation at the lowest possible costs, while meeting the requirements for safety, quality of service, employee satisfaction and maintenance of assets. Laboratory Manager must ensure full cooperation with Branch Manager, General Manager and all other managers on all assignments. 

Must follow all company procedures as established by Saybolt and Core Laboratories, including but not limited to HSE Manual, Accounting Policies & Procedures, Saybolt Administration Instruction Letter, IT procedures, Ethics Policy, Saybolt Compliance Code, etc.  Must keep himself updated and aware of all updates and act accordingly.

Laboratory Manager reports directly to Branch Manager:

  • Routine work.
  • Extraordinary work (equipment, cost, tenders, etc).

QUALIFICATIONS

Education  

  • Minimum Engineering Bachelor’s degree/ Chemical degree or at least 2 years experience in similar management position.
  • Good verbal and written knowledge of local language and English.
  • Proficient user of MS Office.

Experience

  • Minimum of 2 years experience in leadership position in a laboratory of analysis, preferably within the industry.
  • Familiar with basic financial and customer service principles.

COMPETENCIES

Technical Responsibilities:

Nominations

Laboratory Manager ensures that all client nominations are:

  • Acknowledged timely upon receipt,
  • Confirmed not to be in company pre-contact list or have delayed payments,
  • Order confirmation sent timely including any estimated cost as required,
  • Ensures that analysis proper instructions are given to the chemists.
  • Shall provide technical advice to the company or to clients when requested including quality calculations.
  • Shall draft new test methods and update method changes when necessary, subcontracting and agreeing with the customer for acceptance.
  • Shall inform all laboratory personnel of these changes accordingly.
  • Client is kept constantly updated during the entire operation and analysis progress,
  • Shall validate test results when needed.
  • Final analysis COA report finalized and issued,
  • Invoicing coordinator is updated with invoicing instructions including any estimated cost as required,
  • In case client has particular databases these are kept updated (GCAS, Navarik etc.)
  • All data being processed via company software – Connect.

Safety

In collaboration with local Safety Officer, shall ensure that all employees follow safety instructions and premises, equipment and processes are in conformance to HSE Manual and local safety regulations.

Shall ensure that the IATA requirements for transportation of samples by air are being followed.

Laboratory Manager shall ensure that equipment in the laboratory is adequately installed to function properly and safely.

Organization

The Laboratory Manager shall organize and coordinate the Laboratory department within the location to meet both client and company needs.

Shall ensure that all reports, correspondence and other documents are logically and properly filed, with adequate referencing.

Financial

Shall assist the local accounts department by providing accurate information to prepare company financial reports in time.

Shall assist the Branch Manager and Accountant to prepare the monthly ‘flash report’ accurately and in time.

At any time, can request financial information from the accounting department to help in the organization of the company processes and resources.

Personnel

The Laboratory Manager shall coordinate all employees in the department.  For the exceptions the approval of the Branch Manager shall be requested.

The Laboratory shall ensure that proper training is given to all employees’ prior job performance including ongoing monitoring.   It must be ensured that proper training records are being kept.

The Laboratory Manager shall carry out the CoreLab Performance Appraisal process for the employees under direct control.  All the appraisals shall be forwarded to Branch Manager for final approval.

Information Technology

The Laboratory Manager shall ensure that adequate electronic media are used to facilitate work in the location. 

It must be ensured that proper back up system is regularly done to protect company and client information.

The Laboratory Manager must cooperate with the IT person in charge at the location so that CoreLab IT procedures are followed and local IT systems protected.

Environment

The Laboratory Manager shall make sure that location environment regulations are followed.  In particular sample transport, storage and destructions. 

Records of samples taken and destruction date shall be kept in place.  Samples shall be properly and timely destroyed as per instructions.

SharePoint

SharePoint shall be kept updated with location announcements, meetings and other information relative to the location.

The Laboratory Manager shall keep track of the announcements and changes posted on global Saybolt site.

Client Relations

The Laboratory Manager shall be in contact with local and international clients to maintain good relations.  Together with Branch Manager, client visits shall be made.  Records of such visits shall be kept.

The Laboratory Manager has to be alert of new clients and business developments on the country and liaise closely in this respect with the Branch Manager.

Complaints & Claims

All complaints and claims shall be immediately communicated to Branch Manager and Saybolt instructions followed.

Responsible for the halting and resumption of work when a deviation occurs.  Shall conduct a proper investigation to identify any corrective and/or preventive action needed.

Shall monitor that corrective actions are taken and work can be resumed as normal.

Laboratory Testing

Close contact with Branch Manager, Chief Laboratory and Laboratory Quality Manager shall be kept in case of quality matters/disputes.

Laboratory Manager shall ensure that proper disclaimers are made on client report for both inspection and laboratory.

Laboratory Equipment

Laboratory Manager, upon approval from the Branch Manager, is responsible to purchase new laboratory equipment in the lab.

Shall setup new laboratory equipment or any equipment that may require so. Expertise shall be available when a problem with laboratory equipment arises.

Price Policy

In case of any special requests from clients regarding pricing, the Laboratory Manager shall contact the Branch Manager.

Quality Assurance

The Laboratory Manager will cooperate with the Quality Manager to assist the Branch Manager in keeping the location’s quality system active and healthy.

Laboratory Manager shall ensure that the laboratory has in place quality systems as regards to ISO17025 & ISO9001.  Must ensure that laboratory is working according to those procedures.

Shall take care in the participation of proficiency testing programs and other quality programs as needed

Meetings

The Laboratory Manager shall organize regular meetings with all staff including the management team to inform or discuss accordingly.

Special Training Assignments

At any time, Laboratory Manager can be asked to prepare training presentations for both local and international clients and deliver this training.

OTHER INFORMATION

At any time, the company can assign other duties as deemed necessary.

Needs to be willing to travel between all Spain locations and International ones in case of needed in order to ensure a good relationship and feedback process.
